This Privacy Statement explains how Biometrical Letters collects, uses, and protects the personal data of authors, reviewers, and other users of this website, in accordance with the General Data Protection Regulation (GDPR, Regulation (EU) 2016/679).
Data Administrator
The Data Administrator responsible for the processing of personal data is the Polish Biometric Society, ul. Wojska Polskiego 28, 60-637 Poznań, Poland.

What Personal Data We Collect
We collect personal data that you provide directly when registering an account or using our services, including:
- first name, last name, and academic title;
- institutional affiliation and business address;
- business e-mail address;
- fields of scientific expertise (for reviewers);
- data associated with submitted manuscripts and reviews.
Fields marked as optional in registration forms are processed only on the basis of your consent (Article 6(1)(a) GDPR). Mandatory fields are necessary for the provision of our services.
Purposes and Legal Bases for Processing
- Provision of editorial services — maintaining author and reviewer accounts, managing the manuscript submission and peer-review process, publishing scientific papers, and related communications. The legal basis is the necessity for the performance of a contract (Article 6(1)(b) GDPR).
- Publication of author and editorial board information — first name, last name, institutional affiliation, and business e-mail of authors and editorial board members are made publicly available on the journal website and in published papers, as required for the fulfilment of our publishing mission. The legal basis is the necessity for the performance of a contract (Article 6(1)(b) GDPR).
- Statistical and analytical purposes — aggregated, anonymised data may be used for internal reporting and the development of the journal's services. The legal basis is the legitimate interest of the journal (Article 6(1)(f) GDPR).
- Newsletter distribution — where you have given your consent, we may send you information about new issues and journal news. The legal basis is consent (Article 6(1)(a) GDPR), which may be withdrawn at any time.
How Long We Retain Your Data
Personal data are retained for as long as the journal Biometrical Letters continues to publish, and for as long as necessary to fulfil the purposes described above. After the termination of a contractual relationship, data may be retained for the period required by applicable tax and accounting regulations, and until the expiry of any applicable statute of limitations.
Where processing is based on your consent, your data will be retained until you withdraw that consent. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

- the right to lodge a complaint with the supervisory authority — in Poland, the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, uodo.gov.pl).
